Job summary

Jobot is seeking a Senior Accounts Payable Specialist to support a high-volume AP function in a fully remote setup for a reputable law firm. You will own complex AP activities including invoice processing, payments, vendor reconciliations, and issue resolution, collaborating with the accounting team to ensure accurate records.

The ideal candidate has 3+ years of progressive AP experience, strong Excel skills, and familiarity with legal services workflows.

Qualifications

• 3+ years of progressive Accounts Payable experience, within a law firm or in the legal services industry.
• Strong understanding of full-cycle AP processes, invoice coding, payment processing, vendor reconciliations, and discrepancy resolution.
• Legal or professional services industry experience preferred.
• Experience working with carrier invoices and/or billing guidelines is a plus.
• Strong Microsoft Excel skills, including Pivot Tables and VLOOKUP/XLOOKUP; exposure to macros is a plus.
• Experience with Aderant preferred but not required.
• Highly detail-oriented with strong organizational, analytical, and problem-solving skills.
• Ability to independently manage a high transaction volume while consistently meeting deadlines.

Responsibilities

• Manage high-volume, full-cycle accounts payable, including processing 20-50+ invoices and payment requests per day.
• Review invoices and supporting documentation for accuracy, proper coding, approvals, and compliance with established procedures.
• Prepare and process vendor payments, check requests, and other AP transactions.
• Research and resolve invoice discrepancies, payment issues, duplicate invoices, and vendor inquiries.
• Perform vendor account reconciliations and assist with resolving outstanding balances.
• Maintain accurate AP records and supporting documentation to ensure a clean audit trail.
• Assist with month-end close activities, including AP reconciliations, accrual support, and outstanding invoice review.
• Partner with Accounting, Finance, and internal departments to address AP-related issues and maintain timely processing.
• Identify opportunities to strengthen controls, streamline processes, and improve AP efficiency.
• Serve as an experienced resource to other AP team members and provide support on more complex transactions as needed.
