Job summary

Podean is seeking a proactive Sales Development & Operations Virtual Assistant to support our Sales Lead across the full sales cycle—from initial follow-up through contracting, onboarding, and reporting. The role emphasizes strong judgment, high agency, and exceptional English-language communication to mirror the Sales Lead’s voice.

The ideal candidate will manage CRM data, coordinate audits and pitches, and help keep opportunities moving in a fast-paced agency environment.

Qualifications

• Ability to work within Pacific and Eastern hours (required)
• Experience supporting a sales, business development, client success, or revenue operations team
• Demonstrated ability to work independently and take ownership
• Excellent written and spoken English; adapt to executive voice
• Familiarity with CRM tools like HubSpot or comparable systems
• Experience coordinating multi-step sales processes with multiple stakeholders
• Strong attention to detail, follow-through, and deadline management

Responsibilities

• Draft and send timely follow-up emails to prospects and clients
• Replicate Sales Lead's communication style, tone, and positioning
• Track conversations, commitments, and action items
• Flag stalled opportunities and suggest next steps
• Coordinate follow-ups across email, HubSpot, and internal channels
• Maintain deal stages, contacts, tasks, and notes in CRM
• Ensure each opportunity has owner, next action, and follow-up date
• Prepare agendas and materials for audits and pitches
• Coordinate contract admin using PandaDoc
• Organize onboarding handoffs and required attendees
• Support recurring sales and revenue reporting
• Flag discrepancies and coordinate corrections across teams
