Job summary

Zipdev LLC is assisting a boutique medical practice in Newport Beach, CA, seeking a Patient Care Coordinator with consultative sales expertise. You will be the first contact for prospective patients, guiding inquiries through pricing, services, and scheduling.

The role emphasizes relationship-building over telemarketing, requiring polished communication, CRM proficiency (GoHighLevel), and the ability to manage a 40-hour weekly schedule aligned with Pacific Time, including evenings and weekends.

Qualifications

• 3+ years of consultative sales experience serving high-end clientele.
• Fluent English with excellent verbal and written communication.
• Proven track record of meeting or exceeding sales targets.
• Experience with CRM systems, preferably GoHighLevel (GHL).
• Ability to manage multiple conversations and follow-up.
• Willingness to work Pacific Time hours including evenings and weekends.

Responsibilities

• Respond to new patient inquiries across phone, text, email, web forms, and social media during working hours.
• Manage all incoming leads through GoHighLevel with timely, consistent communication.
• Lead consultative sales conversations to understand patient goals, concerns, budgets and timelines.
• Explain aesthetic, regenerative, sexual wellness, and hormone treatments clearly and professionally and discuss pricing.
• Convert qualified inquiries into booked consultations by building trust and asking for the booking.
• Follow up with unresponsive leads and re-engage past inquiries.
• Maintain a detailed GoHighLevel pipeline with conversations, outcomes, next steps, and follow-up dates.
• Prepare handoff notes for providers before consultations including goals, concerns, budget, and pricing.
• Monitor response times, conversion rates, and reasons prospects do not book.
• Identify opportunities to improve sales scripts, follow-up sequences, CRM workflows and automations.
• Provide a polished, warm, personalized experience reflecting premium positioning.
