Talentoma is seeking an Onboarding Specialist to support new hires through the full onboarding lifecycle. This fully remote role collaborates with HR, recruiters, and managers to ensure a smooth start for new employees, guiding them through introductions, training, and system access.

The position requires strong communication, organizational skills, and the ability to manage multiple onboarding timelines. A 40-hour week is standard, with work-from-home flexibility in the United States.

Qualifications

• High school diploma or equivalent is required or preferred.
• 1–2 years of experience in employee onboarding, HR administration, or related coordination work is preferred.
• Familiarity with onboarding checklists, manager handoffs, and HR team lead input guidance.
• Comfort navigating HR systems, scheduling tools, and learning platforms, including task status checks.

Responsibilities

• Receive new hire handoffs through the HR team's inbox and task queue, confirm start information and onboarding milestones before outreach.
• Send welcome messages using approved templates and identify the right contacts for questions outside the specialist's responsibilities.
• Maintain onboarding task status in BambooHR, check activities for accuracy, and record progress notes.
• Arrange virtual introductions and orientation sessions via Outlook, confirm invitations and resolve conflicts.
• Assign introductory courses through Docebo, explain navigation steps, and monitor completion against milestones.
• Answer routine questions about orientation, introductions, and training resources with approved guidance.
• Follow up on incomplete activities with new hires and managers, update completion dates as needed.
• Refer system access issues to IT and unclear onboarding requirements to HR team lead, with context.
• Review progress before closing onboarding checklist and confirm remaining ownership with managers.
• Meet quality expectations through task updates, timely responses, complete notes, and consistent follow-up.
