Job summary

Talentoma is seeking an Intake Representative to manage inquiries, capture details, and move requests to the right next step. Working with form builders like Jotform and scheduling tools like Microsoft Bookings, you will ensure requests are complete and routed correctly.

This fully remote, Colorado-based role is 40 hours per week with flexible days and shifts. You will log updates in SugarCRM, coordinate appointments, and provide timely, professional follow-up to requestors.

Qualifications

• High school diploma or equivalent.
• No experience required; related office experience preferred.
• Familiar with intake conversations and routing.
• Ability to use SugarCRM to log updates.
• Willingness to learn Jotform and Microsoft Bookings.
• Clear spoken and written communication.
• Authorized to work in the United States.
• Fully remote work from a Colorado home office.

Responsibilities

• Receive intake requests through a shared queue, calls, emails, and online forms, acknowledging professionally.
• Review details for clarity, contact information, purpose, and availability before routing.
• Enter updates, notes, status, and actions in SugarCRM.
• Review submitted forms in Jotform to identify missing details.
• Coordinate appointments in Microsoft Bookings and send confirmations.
• Contact requestors to clarify incomplete information or confirm next steps.
• Route requests to appropriate scheduling contacts or teams.
• Escalate urgent or unresolved requests to the intake team lead with context.
• Maintain organized queue status for team visibility.
• Meet quality expectations with accurate entries and timely follow-up.
