Job summary

Tactile Medical is seeking an Order Coordination Analyst to centralize order-related communication and resolve issues across the patient order lifecycle. The role involves obtaining missing documentation, coordinating with providers, clinics, and referral sources, and handling inbound/outbound calls and emails with a focus on timely patient access to therapy.

The position supports a remote-first approach and may require hybrid work for those near Minneapolis, MN.

Qualifications

• Associate degree or equivalent combination of education and experience.
• Three or more years of experience in healthcare operations, patient access, reimbursement, provider relations, customer service, or clinical support.
• Experience communicating with healthcare providers, physician offices, clinics, or patients and managing high-volume calls and emails.
• Working knowledge of healthcare operations, medical terminology, reimbursement processes, and HIPAA requirements.
• Strong customer service, verbal and written communication, telephone communication, problem-solving, critical-thinking, organization, prioritization, follow-up, and escalation-management skills.
• Ability to manage multiple requests, assess resolution pathways, work independently, and collaborate across teams.
• Proficiency with Microsoft Office and case management systems.

Responsibilities

• Perform proactive outreach to healthcare providers, clinic staff, referral sources, and clinical teams to obtain missing documentation and criteria.
• Review orders for documentation deficiencies, aging, and risks delaying progression.
• Serve as primary Tier 1 contact for inbound calls, emails, and service requests.
• Assess inquiries and provide clear guidance on order status and requirements.
• Escalate complex issues to Tier 2 while maintaining ownership and updates.
• Coordinate handoffs across multiple teams for smooth workflow.
• Document interactions and required information accurately in systems.
• Track service metrics and identify themes to support improvements.
• Maintain HIPAA compliance and other regulatory requirements.
