Job summary

Mindful Therapy Group is seeking a Facilities Project Coordinator to bring new therapy offices to life nationwide. This remote role partners with project teams, vendors, contractors, and operations to coordinate logistics, procurement, budgets, documentation, and vendor relations from concept to opening day.

The ideal candidate has experience in construction, tenant improvements, interior design, or related fields, and is willing to travel up to 25% to support expansion projects across states.

Qualifications

• Bachelor’s degree or equivalent combination of education and experience.
• 1-2 years of experience in project coordination or related field.
• Ability to travel regionally and nationally (typically 3 days to 2 weeks).
• Ability to lift up to 50 lbs. and travel with a personal vehicle; mileage reimbursement provided.
• Must reside within driving distance of company offices in the base state.

Responsibilities

• Help bring new therapy offices to life: support planning, coordination, and launch of new locations nationwide.
• Coordinate with project managers, brokers, vendors, contractors, and internal stakeholders to keep projects on track from planning through opening day.
• Coordinate furniture, fixtures, equipment, décor, installations, and office setup to create welcoming, functional spaces.
• Assist with site evaluations, space planning, and design decisions that align with company standards and provider needs.
• Manage vendor communications, obtain and compare quotes, and help ensure work is completed on time, within budget, and to expectations.
• Coordinate deliveries, installations, repairs, and improvements across locations; review invoices and support payment processes with Accounting.
• Track project expenses and buildout budgets, providing regular updates on project performance.
• Analyze project costs and purchasing trends to support budgeting and planning.
• Contribute to project closeout reporting, lessons learned, and continuous improvement initiatives.
• Help maintain systems, documentation, and standards for facilities and real estate operations.
• Administer space management tools and assist with facilities-related process improvement projects.
• Create and update guides, procedures, and project resources to scale operations as the company grows.
