Job summary

Aston Carter is seeking a Contracts Administrator for a fully remote contract-to-hire role. The position supports contract administration in an AEC environment, reviewing terms, insurance, and obligations, and processing invoices within ERP systems.

Based in Eastern or Central Time, you will collaborate with project teams, accounting, and external partners, maintain vendor records, and use Excel to track data and reporting.

Qualifications

• 3+ years in the AEC industry reviewing contracts, terms, insurance, and obligations.
• 3+ years approving invoices, ideally subconsultant or project-related.
• Strong data entry accuracy and attention to detail.
• Experience with large ERP systems for contracts and invoices.
• Excellent collaboration with project teams and accounting.

Responsibilities

• Review contracts to verify payment terms, insurance, and obligations.
• Approve subconsultant and project-related invoices.
• Maintain vendor and contract records accurately.
• Ensure contract documents are current and compliant.
• Collaborate with project teams and external partners to resolve billing issues.
• Data entry and reporting for contract data.
• Support corporate travel documentation.
• Organize and store project and legal documents.
• Use Excel to track and reconcile data.
• Process invoices and update records in the ERP system.
