Job summary

Hey Jane is seeking a Clinical Operations Specialist to own the clinical schedule, coverage, and day-to-day operations across 24+ states. You will work closely with the Clinical Operations Senior Manager and clinic managers to build the operational backbone of our virtual care platform.

This early-hire role requires strong organizational skills, system knowledge (Elation and Quest), and the ability to manage complex schedules while supporting onboarding and on-call rotations.

Qualifications

• 2+ years of experience in clinical operations, healthcare administration, or a similar operational/coordination role.
• Highly organized with the ability to track multiple moving pieces: schedules, PTO, call-outs, vendor setups.
• Comfortable owning a recurring, detail-heavy operational process.
• Detail-oriented and accountable: you catch issues early and own your work.
• Natural partner: build trust with clinic managers and cross-functional partners.
• Energized by the operational and logistical side of healthcare.
• Calm in complexity across 24+ states with varied licensing/coverage rules.
• Comfortable learning and working with scheduling, EHR, and lab-vendor systems (Elation, Quest).
• Excited to help build and refine processes as a new team/role takes shape.

Responsibilities

• Own the clinical schedule build on an 8-week cycle and ongoing work across states.
• Own sync visit configuration – provider availability and appointment slots.
• Review and approve clinical payroll on a recurring cadence.
• Support day-to-day operational escalations per a playbook.
• Support onboarding logistics and vendor configuration for clinical hires (Elation, Quest).
• Help organize our Operations On-Call rotation schedule.
