Job summary

Hey Jane is building its Clinical Operations team and seeks a dedicated coordinator to own the 8‑week scheduling cycle, PTO tracking, call‑outs, and coverage across 24+ states.

You will work with the Clinical Operations Senior Manager and clinic managers to streamline day‑to‑day operations, vendor setups, and onboarding for clinical hires, while maintaining a calm, organized approach.

Qualifications

• 2+ years in clinical operations or healthcare administration.
• Highly organized with ability to track multiple moving pieces (schedules, PTO, call-outs, vendor setups).
• Comfortable owning recurring, detail-heavy operational processes.
• Detail-oriented and accountable; you catch issues early and own your work.
• Natural partner to clinic managers and cross-functional teams; proactive in updates.

Responsibilities

• Own the clinical schedule build on an 8-week cycle and between builds (call-outs, PTO tracking, coverage).
• Own sync visit configuration — provider availability and appointment slots; manage ad hoc updates.
• Review and approve clinical payroll on a recurring cadence.
• Support day-to-day operational escalations per playbook.
• Support onboarding logistics and vendor configuration for clinical hires (Elation, Quest).
• Help organize the Operations On-Call rotation schedule.
