Job summary

Hey Jane is seeking a Clinical Operations Specialist to own the clinical scheduling, coverage, and day-to-day operational coordination across all states we serve. You will partner with the Clinical Operations Senior Manager and clinic managers to build a scalable operational backbone for a new team.

This early hire will shape processes, own recurring scheduling cycles, and help ensure smooth patient care as Hey Jane expands across states and care channels.

Qualifications

• 2+ years of experience in clinical operations, healthcare administration, or similar role.
• Highly organized with ability to track schedules, PTO, call-outs, and vendor setups.
• Comfortable owning recurring, detail-heavy operational processes.
• Detail-oriented and accountable; takes ownership of work.
• Natural partner with clinic managers and cross-functional teams; proactive communication.
• Experience with scheduling, EHR, and lab-vendor systems such as Elation and Quest.

Responsibilities

• Own the 8-week clinical schedule cycle and ongoing coverage across all states.
• Manage sync visit configuration and provider availability for standard and ad-hoc updates.
• Review and approve clinical payroll on a recurring cadence.
• Support day-to-day operational escalations per the playbook.
• Assist with onboarding logistics and vendor configuration for clinical hires (Elation, Quest).
• Help organize the Operations On-Call rotation schedule.
