Job summary

Valence Care is seeking an organized and detail-oriented IDD Rehab Services Scheduler to support scheduling and administrative coordination for our IDD department in Staten Island, NY.

You will coordinate therapy placements for PT, OT, and SLP services, communicate with therapists and internal teams, and maintain accurate scheduling and case records while ensuring HIPAA compliance.

Qualifications

• 2+ years of experience in a busy administrative or healthcare environment.
• Experience using scheduling systems and electronic records.
• Strong organizational and communication skills.

Responsibilities

• Review referrals and identify cases requiring PT, OT, or SLP services.
• Coordinate daily placement of therapists based on incoming requests.
• Communicate therapist assignments to the IDD Intake team and Case Managers.
• Follow up with Case Managers, Clinical Managers, and Rehab Managers regarding scheduling needs and service interruptions.
• Enter and maintain required information in McKesson and other scheduling systems.
• Maintain accurate records of patient and therapist assignments and update placement logs.
• Provide responsive customer service and support to therapists.
• Identify scheduling or operational challenges and escalate to supervisor.

About the Role

Valence Care is seeking an organized and detail-oriented IDD Rehab Services Scheduler to support scheduling and administrative coordination for our IDD (Intellectual and Developmental Disabilities) department.

In this role, you will coordinate therapy placements for Physical Therapy (PT), Occupational Therapy (OT), and Speech-Language Pathology (SLP) services, communicate with therapists and internal teams, and maintain accurate scheduling and case records.

What You’ll Do

• Review new referrals from the Intake Services team and identify cases requiring PT, OT, or SLP services.
• Coordinate daily placement of therapists based on incoming requests.
• Communicate therapist assignments to the IDD Intake team and Case Managers.
• Follow up with Case Managers, Clinical Managers, and Rehab Managers regarding therapy placements, scheduling needs, and service interruptions.
• Enter and maintain required information in McKesson and other scheduling systems.
• Maintain accurate records of patient and therapist assignments and update placement logs.
• Provide responsive customer service and support to therapists.
• Identify and communicate scheduling or operational challenges to your supervisor.
• Follow company policies, including HIPAA, patient confidentiality, and client rights.
• Report suspected compliance concerns to the appropriate supervisor, Compliance Officer, or Compliance Hotline.
• Perform other duties as assigned.

What We’re Looking For

• High school diploma or equivalent; some college preferred.
• At least 2 years of experience working in a busy administrative or healthcare environment.
• Experience using phones, email, computers, scheduling systems, and electronic records.
• Strong organizational skills with the ability to manage multiple tasks and priorities.
• Computer proficiency and ability to learn and navigate scheduling systems.
• Excellent communication skills and the ability to work effectively with healthcare professionals.
• Strong attention to detail and follow-through.
• Ability to work in a fast-paced environment while maintaining accuracy and professionalism.

Pay: $23–$24 per hour
