Job summary

Aston Carter is seeking a Recruiting Coordinator for an onsite role in El Segundo, CA. You will manage end-to-end interview scheduling and candidate logistics, partnering with multiple hiring teams to support complex interview loops and maintain a high-touch candidate experience.

The role requires 3+ years in recruiting coordination or operations and a Bachelor’s degree, with strong experience using Greenhouse or similar ATS platforms. Travel coordination and mentor responsibilities are included.

Qualifications

• 3+ years of experience in recruiting coordination or recruiting operations, ideally supporting high-volume or technical hiring.
• Experience scheduling complex, multi-part interview loops for onsite and virtual interviews.
• Hands-on experience using an applicant tracking system (ATS) to manage interviews and candidate workflows.

Responsibilities

• Own end-to-end scheduling for complex, multi-stage interview loops across multiple hiring teams, using Greenhouse.
• Act as the primary point of contact for candidates, delivering a high-touch interview experience.
• Coordinate availability, last-minute changes, and conflicts with hiring managers and interviewers.
• Maintain interview plans, scorecards, and scheduling templates to minimize errors.
• Coordinate candidate travel, lodging, and onsite expense reimbursement.
• Track metrics like time-to-schedule and no-show rates and flag bottlenecks to leadership.
• Train and mentor junior recruiting coordinators to ensure consistent processes.
• Serve as the subject-matter expert on Greenhouse configuration and interview logistics best practices.
• Support offer logistics and background check coordination with recruiters and HR.
• Identify process improvements to scale recruiting operations as the organization grows.
