Job Summary
We are seeking a professional Receptionist to provide front-desk coverage and administrative support for a busy corporate office in Seattle. This role serves as the first point of contact for employees, visitors, and vendors while helping ensure smooth day‑to‑day office operations. The ideal candidate will have strong customer service skills, administrative experience, and excellent communication abilities.
Key Responsibilities
- Greet and assist employees, visitors, and vendors professionally.
- Answer and direct incoming phone calls.
- Perform general office administrative duties.
- Order and maintain office supplies.
- Maintain records management systems.
- Prepare invoices, reports, memos, letters, and other business documents.
- File and retrieve corporate documents and records.
- Open, sort, and distribute incoming mail, packages, and email correspondence.
- Prepare responses to routine correspondence.
- Assist with office operations and daily administrative support.
- Support access control and office work order requests as needed.
- Maintain confidentiality of sensitive information.
- Provide exceptional customer service while ensuring the office runs efficiently.
Required Qualifications
- 2–3+ years of experience in:
- Receptionist
- Administrative Assistant
- Customer Service
- Strong administrative and organizational skills.
- Excellent verbal and written communication.
- Ability to multitask and prioritize work.
- Strong interpersonal and customer service skills.
- Ability to work independently and manage time effectively.
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint).
- Professional appearance with strong attention to detail.
- Ability to maintain confidential information.
Preferred Experience
- Experience with work order management systems.
- Experience using access control systems.
- Previous experience supporting office operations in a corporate environment.
Education
- High School Diploma or GED required.
