Responsibilities

  • Manage the reception area, ensuring it is clean, organized, and inviting
  • Handle and distribute incoming mail, packages, and deliveries
  • Coordinate and schedule appointments, meetings, and conference room reservations
  • Maintain visitor logs, security protocols, and access control systems
  • Assist with administrative tasks such as photocopying, filing, data entry, and document preparation
  • Manage office supplies and inventory
  • Maintain confidentiality and discretion when handling sensitive information
  • Assist in event planning and coordination for company functions
  • Assist Officers with Thank You letters to donors
  • Assist in scheduling clients for the food pantry daily
  • Any other reasonable request made by Corps Officers

General Purpose of Job:

Assist Corps Officer with general office operations.

Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES.
  • Manage Front Desk
  • Assist with Correspondence
  • Assist with Social Service Scheduling
  • Greet and welcome visitors, clients, and employees in a warm and courteous manner.
  • Answer, screen, and direct incoming calls promptly and professionally.
  • Manage the reception area, ensuring it is clean, organized, and inviting at all times.
  • Provide accurate and up-to-date information to inquiries about the company, its services, and its employees.
  • Handle and distribute incoming mail, packages, and deliveries efficiently.
  • Coordinate and schedule appointments, meetings, and conference room reservations.
  • Maintain and update visitor logs, security protocols, and access control systems.
  • Assist with administrative tasks such as photocopying, filing, data entry, and document preparation.
  • Manage office supplies, restocking items as needed and maintaining inventory.
  • Maintain confidentiality and discretion when handling sensitive information.
  • Collaborate with colleagues to ensure a seamless and positive experience for all visitors.
  • Provide support to other departments as required.
  • Make sure all donation go directly to the Corps Officers.
  • Keep track of all Gifts in Kind donations for Corps Officers to send to DHQ.
  • Refer clients to local agencies providing needed assistance.
  • Monitor and order office supplies, restocking items as needed and maintaining inventory.
  • Assist in event planning and coordination for company functions.
  • Assist Officers with Thank You letters to donors.
  • Assist in scheduling clients for the food pantry daily.
  • Any other reasonable request made by Corps Officers
SUPERVISORY RESPONSIBILITIES
  • Front Office Volunteers
Qualifications
MINIMUM EDUCATION and/or EXPERIENCE
  • High school diploma or equivalent; additional education or certification is a plus.
  • Proven experience as a Receptionist or in a customer-facing role is preferred.
SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS.
  • Effective written and oral communication skills
  • Proficient knowledge of computers, word/excel/publisher
  • Good planning and follow through skills
  • Ability to work numerous projects simultaneously
  • Able to work independently or in group
