Key Responsibilities
- Greet and welcome guests, clients, and staff in a warm, professional manner
- Uphold office security protocols by ensuring every visitor is properly signed in with building security
- Field and screen incoming calls professionally, routing them to the appropriate person
- Keep the reception area and all conference rooms tidy and presentable at all times
- Process incoming and outgoing mail, packages, and deliveries
- Oversee scheduling across multiple conference rooms and coordinate meeting logistics, making sure spaces are reset and organized afterward
- Work with meeting organizers to arrange catering, seating setups, AV/technology, and other logistical needs
- Track and replenish office supplies and stationery on a weekly basis
- Support general administrative functions, including data entry, photocopying, arranging travel, processing expense reports, handling mailings, and prepping materials for meetings
- Coordinate catering orders for meetings, events, and office lunches
- Support additional projects as they come up
Qualifications
- Bachelor's degree preferred
- At least 2 years in a Receptionist, administrative, or office support capacity
- Prior experience at an investment firm or other financial services company is a plus
- Polished, professional presence
- Highly organized with strong time-management abilities and close attention to detail
- Able to work independently and take ownership with limited oversight
- Strong multitasking and prioritization skills in a fast-moving environment
- Trustworthy and professional when handling sensitive information
- Team-oriented with a strong work ethic and upbeat attitude
- Capable of lifting 25-30 lbs and pushing up to 50 lbs when handling office supplies or equipment
