Job summary

Kinkelder BV USA is seeking a Purchasing & Accounts Payable Specialist to support purchasing, receiving, and accounts payable across our locations. You will manage open orders from purchase to delivery, follow up with vendors to keep orders on schedule, process drop-ship orders, and help ensure AP records are accurate and reconciled.

Qualifications

• 2+ years of experience in purchasing, accounts payable, order entry, or a similar office role.
• Strong attention to detail and ability to work with recurring reports and deadlines.
• Experience working in an ERP system; Microsoft Dynamics 365 experience is a plus.
• Working knowledge of Excel, including filters, sorting, and basic formulas.
• Clear written and verbal communication skills when working with vendors and coworkers.
• Ability to organize and manage priorities across multiple branches.
• Strong follow-through and problem-solving skills.

Responsibilities

• Purchasing & Vendor Management: Obtain vendor order confirmations; verify pricing, quantities, and ship dates; follow up on past-due items; keep PO information current.
• Receiving & Order Fulfillment: Receive shipments in ERP and match receipts to POs; process and invoice direct-delivery orders; resolve discrepancies.
• Accounts Payable Support: Prepare AP reconciliation reports; research and resolve discrepancies; maintain weekly AP records; ensure PO/receipts/invoices are matched.
• General: Work with Inside Sales, Purchasing, andAccounting teams across multiple locations; communicate with vendors and internal teams to resolve issues; provide backup for other office processes.
