Palco Industrial Marking and Labeling, Inc. is seeking an Accounts Payable Specialist to support daily AP and purchasing activities in a fast-paced manufacturing and distribution environment.

This role requires reviewing vendor POs, invoices, and packing slips, coding expenses, and maintaining vendor records while coordinating with purchasing, production, inventory, and shipping teams to ensure accurate and timely processing.

Qualifications

• Experience with purchase order workflows and vendor coordination.
• Ability to review POs, invoices, and packing slips for discrepancies.
• Strong coding and data entry skills in accounting systems.
• Comfort with Excel-based reporting and inventory-related processes.

Responsibilities

• Review POs, confirmations, and invoices to resolve pricing, quantity, or receipt discrepancies.
• Track and report vendor lead times for open POs across manufacturing and distribution.
• Process vendor invoices and packing slips to align with POs, receiving, and inventory docs.
• Code and enter invoices into the accounting system, including inventory and freight expenses.
• Prepare vendor invoices for weekly ACH payments.
• Maintain vendor pricing and vendor records, including W-9 documentation and compliance.
• Assist with monthly inventory reconciliation and investigate variances.
• Create and improve Excel-based tracking tools, including pivot tables.
• Cross-train to support AR and HR-related functions as needed.
• Perform quality control reviews on Accounts Receivable processes for accuracy.

Palco Industrial Marking and Labeling, Inc. is a manufacturer and distributor in the custom labeling and printing industry, providing high-quality pressure-sensitive labels, marking and coding related products to a diverse customer base. We are seeking an Accounts Payable Specialist to support daily AP and purchasing operations in a fast-paced manufacturing and distribution environment.

This position is ideal for an AP professional who understands purchase order workflows, inbound materials, inventory movement, and vendor coordination across both production and distribution functions. The Accounts Payable Specialist will work closely with the Accounting / HR Manager and collaborate with purchasing, production, inventory, and shipping teams to ensure accurate and timely processing.

• Review vendor purchase orders, confirmations, and invoices to identify and resolve pricing, quantity, or receipt discrepancies
• Track, follow up on, and report vendor lead times for open purchase orders supporting both manufacturing and distribution operations
• Process vendor invoices and packing slips, ensuring alignment with purchase orders, receiving, and inventory documentation
• Accurately code and enter invoices into the accounting system, including inventory, freight, and non-inventory expenses
• Prepare vendor invoices for weekly ACH payment processing
• Maintain and update vendor pricing within the accounting system
• Set up and maintain vendor records, including W-9 documentation and compliance files
• Assist with monthly inventory reconciliation, including investigation of inventory-related variances
• Create, maintain, and improve Excel-based tracking and reporting tools, including pivot tables
