Job Description

INFOTRAN Engineers & Architects PC is seeking a Proposal Coordinator to join our Marketing Team at our New Jersey office. This role will support the Marketing Department in coordinating and producing proposals, managing marketing outreach, fostering client relationships, handling internal and external company communications, and contributing to various corporate marketing and business development initiatives. Experience in Architectural, Engineering, or Construction Management firms is preferred. Proficiency in Adobe InDesign software is highly desirable.

Responsibilities
  1. Proposals: Monitor procurement portals. Assist in developing bid response materials for RFPs, LOIs, SOQs, and RFIs, including qualification packages (technical write-ups, resumes, project sheets, graphics). Coordinate with prime and sub-consultant firms. Edit proposal contents, forms, and relevant documents.
  2. Forms/Databases: Maintain databases and populate SF254/255, SF330, and other forms required by client agencies as part of the proposal qualifications.
  3. Marketing Materials: Develop and continuously update standard marketing database materials such as firm overviews, project descriptions, team resumes, and technical write-up libraries. Create materials for internal and external communications, including award submissions, newsletters, blogs, and advertisements on the intranet, website, and social media pages.
  4. Industry Conferences: Attend pre-proposal conferences as requested. Organize registrations and coordinate materials and displays for business development events for senior staff, including networking events, conferences, and outings. Perform additional responsibilities to ensure marketing initiatives are executed efficiently and effectively, contributing to the overall success of the company’s marketing goals.
Qualifications
  • An associate degree in Business Administration or a related field is required. A bachelor’s degree is preferred.
  • 2-5 years of experience in writing marketing proposals, preferably in an A/E/C or professional services firm.
  • Excellent written and verbal English communication skills.
  • Ability to prioritize multiple initiatives and manage time, budget, and other expectations.
  • Proficiency in PC desktop publishing and database applications, including Adobe Acrobat, Adobe InDesign, Publisher, Photoshop, MS Word, PowerPoint, Excel, and Outlook; and ability to quickly learn new software programs.
  • Positive and proactive attitude with the ability to organize, think creatively, communicate effectively, multitask with attention to detail, and work effectively in teams or independently.
  • Availability and commitment to working more than 40 hours as necessary to meet deadlines.
  • Willingness and ability to travel to various NY & NJ locations.
