The Proposal Coordinator supports the proposal team by handling administrative tasks, maintaining documentation, and assisting in the preparation and formatting of federal environmental proposal materials such as resumes and project summaries. This role offers an opportunity to develop foundational skills in proposal development under the guidance of senior team members.

What you’ll do

• Organize and maintain a repository of proposal templates, past proposals, and supporting materials.
• Ensure version control for proposal documents.
• Assist in organizing proposal schedules, timelines, and deadlines.
• Help track required proposals.
• Format, proofread, and edit proposal documents for accuracy and consistency.
• Populate and update templates with standard information, such as company profiles, resumes, and past performance data.
• Conduct basic research on client needs, industry trends, and competitors to support proposal development.
• Gather and organize supporting data, including competitive analysis.
• Assist in coordinating with internal teams to collect information for proposals.
• Participate in team meetings to support project updates and next steps.
• Perform initial reviews of documents for formatting, spelling, and grammatical errors.
• Ensure adherence to branding guidelines and proposal requirements.

Minimum Qualifications

• At least 1 year of experience in preparing and formatting federal proposals.
• 5+ years of experience with Microsoft Office Suite (Word, PowerPoint, Excel) and familiarity with document management systems.
• Experience in business, communications, marketing, or a related field.
• This is a remote position; the candidate must be logged-in, available, and working throughout the day.
