Job summary

Wood Air Conditioning & Plumbing is seeking a detail-oriented Project Accountant to support financial operations for commercial HVAC/R projects from our Round Rock, TX office. You will collaborate with Project Managers, field teams, customers, and the Regional Controller to ensure accurate billings, cost tracking, and timely financial reporting throughout the project lifecycle.

Responsibilities include preparing AIA billings, maintaining job cost and WIP data, and supporting payroll and closeout

Qualifications

2+ years of experience in accounting, bookkeeping, accounts payable/receivable, or related role.
Experience in HVAC/R, construction, mechanical contracting, field service, or skilled-trades industry preferred.
Experience with commercial construction or HVAC/R project accounting.
Experience with progress billing, AIA billing, retainage, lien waivers, or percentage-of-completion accounting.

Responsibilities

Prepare and issue project billings, including AIA-style pay applications, retainage tracking, and change order billing when applicable.
Prepare lien waivers and other billing-related documentation as required by contract terms.
Initiate and prepare job billing reports for Project Coordinators, review billing information for accuracy, and distribute invoices and lien waivers.
Reconcile and distribute customer account statements.
Manage accounts receivable activities, including applying payments, supporting collections, and responding to inquiries.
Reconcile project budgets to actual costs monthly and identify variances and margin issues.
Monitor Costs in Excess (CIE) and communicate potential cost issues to Project Managers and Regional Controller.
Review PO accruals and back up PO processing within the system.
Maintain accurate customer/vendor records in accounting and project management systems.
Process approved job cost transfers per company procedures.
Work with Project Coordinators to keep project information, costs, and billing up to date.
Assist with payroll processing and labor allocations.
Ensure compliance with contract billing, lien waiver collection, and retainage schedules.
Maintain project financial records and review entries for completeness.
Lead accounting portion of project closeout and finalization in systems.
Identify discrepancies between estimated and actual project costs.
Assist with monthly/year-end closing and project audits.
Maintain compliance with company policies and accounting standards.
