Job summary

Wood Air Conditioning is seeking a detail-oriented Project Coordinator to support commercial HVAC/R installation, service, and retrofit projects from our Round Rock, TX office. You will coordinate with project managers, field crews, customers, and vendors to keep projects on schedule, within budget, and properly documented.

The role emphasizes office-based coordination for traveling teams nationwide, with strong attention to permitting, purchasing, scheduling, and safety documentation.

Qualifications

• 4+ years of experience in project coordination or construction administration.
• Experience in commercial HVAC/R or construction preferred.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication.
• Proficiency with Microsoft Office, especially Excel and Outlook.
• Experience with ERP/CRM or construction management software.

Responsibilities

• Coordinate and track permitting process and ensure local compliance.
• Create, manage, and reconcile purchase orders.
• Order and track materials and coordinate delivery with timelines.
• Communicate with vendors regarding pricing and status.
• Assist with labor scheduling and crew coordination.
• Maintain project documentation and folders.
• Monitor budgets and schedules and report risks to PM.
• Support billing and invoicing with Project Accounting.
• Coordinate travel arrangements for field teams.
