Job summary

UP Health System - Portage is seeking a Scheduling Coordinator to collaborate with OR and nursing staff to manage surgical schedules and patient progression. The role involves data entry, communication, and inventory tasks essential to the One Day Surgery department.

You will handle phone inquiries, process patient charges, and ensure accurate documentation while maintaining organized records and timely messages within a busy hospital setting.

Qualifications

• High School Diploma or equivalent required; associate’s degree preferred.
• Requires critical thinking, decisive judgment and ability to work with minimal supervision.
• Must work well in a stressful environment and take appropriate action.
• Strong computer and telephone skills; excellent communication and prioritization abilities.
• Minimum 3 years of secretarial or administrative experience.

Responsibilities

• Collaborates with OR/Nursing staff to facilitate surgical schedules and patient progression.
• Notifies blood bank, radiology, PACU, and OR staff of special needs or cancellations.
• Provides typing, word processing, and PC support for department communications.
• Obtains complete patient information and communicates to appropriate staff.
• Answers and routes phone messages promptly and accurately.
• Orders and stocks office supplies and maintains inventory for department.
• Prepares and enters patient charges and information into the scheduling system.
• Receives and routes all incoming mail for One Day Surgery.
• Faxes/delivers patient information or physician orders as requested by nursing staff.
• Maintains medical forms and organized filing for One Day Surgery records.
