Job summary

UP Health System - Portage is seeking a Scheduling Coordinator to support the One Day Surgery department. You will coordinate the surgical schedule, communicate needs across nursing units, and manage clerical tasks including billing inputs and mail handling.

The role requires strong computer/phone skills, attention to detail, and the ability to work under pressure in a hospital setting. Prior secretarial experience is valued.

Qualifications

• High School Diploma or equivalent required; associate's degree preferred.
• Requires critical thinking, decisive judgment and ability to work with minimal supervision.
• Must work well under stress and take appropriate action.
• Strong computer and telephone skills; must communicate well and prioritize work.
• Minimum 3 years of secretarial experience.

Responsibilities

• Collaborates with OR nurses and departments to facilitate scheduling and patient progression.
• Notifies blood bank, radiology, PACU, materials supply and OR charge nurse of needs, add-ons or cancellations.
• Provides typing, word processing and PC support for department communications.
• Acquires complete patient and procedure information and communicates to the right people.
• Answers phones and documents messages promptly.
• Orders and stocks supplies from General Stores and maintains inventory.
• Prepares and enters patient charges into the scheduling system.
• Receives and routes incoming mail for One Day Surgery.
• Faxes or delivers patient information or physician orders as requested.
• Maintains medical forms and filing systems for the department.
