Job summary

Invited is seeking an Event Sales Coordinator to assist with the planning and coordination of event sales at the club. You will work closely with the Event Sales Manager to ensure all event details are meticulously managed, from initial inquiry to final execution.

This role focuses on administrative support, client communication, and helping achieve the annual event sales plan while maintaining high service standards.

Qualifications

• High school diploma or equivalent.
• At least 1 year of experience in a customer-facing or sales support role in the hospitality or events industry.
• Preferred college coursework in hospitality, marketing, or a related field.

Responsibilities

• Assist with coordination and execution of event sales, including managing event details, logistics, and client communication.
• Primary contact for clients during the event planning process, documenting and communicating needs.
• Create and distribute event proposals, contracts, event orders, floor plans and diagrams with accuracy.
• Maintain and update the client database and assist in developing a prospect inventory.
• File and organize all event-related documents, including contracts and payments.
• Assist with basic financial tracking, such as recording deposits and payments with accounting.
• Manage event supplies and inventory, coordinating with vendors as needed.
• Coordinate with kitchen and service teams to ensure details are executed as planned.
• Participate in sales and event meetings, providing updates on status and interactions.
• Provide general administrative support to the Event Sales Manager and Director.
