Job summary

Invited is seeking an Event Sales Coordinator to assist in planning and coordinating event sales at the club, ensuring a superior member and guest experience. You will work closely with the Event Sales Manager to manage details from inquiry to execution and provide essential administrative support to keep client records up to date.

The role requires strong organizational skills, a minimum of one year in a hospitality or events setting, and comfort with Microsoft Office and event management

Qualifications

• High school diploma or equivalent is required.
• Minimum 1 year of experience in a customer-facing or sales support role in hospitality or events.
• Basic understanding of Microsoft Office and event management software.

Responsibilities

• Assist the Event Sales Manager with coordination and execution of event sales, including managing event details and client communication.
• Serve as the primary point of contact for clients during the event planning process and document client needs.
• Support creation and distribution of proposals, contracts, event orders, floor plans and diagrams.
• Maintain and update the client database and assist in developing prospect inventory.
• Ensure contracts and payment records are filed and organized.
• Assist with basic financial tracking, deposits, and payments with accounting.
• Manage event supplies and inventory and coordinate with vendors as needed.
• Coordinate with kitchen and service teams to ensure accurate execution of event details.
• Attend sales and event meetings and provide status updates.
• Provide general administrative support to the Event Sales Manager and Director.
