Job summary

Jobtailor in the United States is seeking an experienced Medical Office Administrator to lead operations across multiple practices. The role focuses on scheduling, billing and patient services, with oversight of registration, credentialing and staff development.

The ideal candidate has 7+ years in medical office settings, a Bachelor's degree, and proven supervisory experience, including change management and quality improvement initiatives.

Qualifications

  • Current BLS certification required or must be obtained within 30 days of hire.
  • Bachelor's Degree required; equivalent combinations may be considered.
  • 7+ years of progressive medical office experience in registration, back-office clinical, scheduling and/or billing.
  • 3+ years of healthcare supervisory or management experience.
  • Experience in Financial Management, Quality Improvement and Project Management.

Responsibilities

  • Supervise operational, HR, administrative and business functions for large-scale practices.
  • Provide administrative and clerical support for patient-centric care including scheduling and referrals.
  • Maintain clinic and provider scheduling templates across locations.
  • Develop patient reception and traffic-flow procedures.
  • Oversee reception coverage and telephone systems.
  • Provide customer service, resolve patient complaints and manage variances.
  • Assist providers with schedules and day-to-day operational issues.
  • Track provider productivity and regulatory compliance.
  • Participate in credentialing for new providers.
  • Supervise staff in registration, coordination, scheduling and authorization functions.
  • Orient and train staff; conduct performance reviews and coaching.
  • Process hires: job descriptions, resumes, interviews, hiring decisions.
  • Ensure HIPAA, privacy and information management compliance.
  • Manage revenue functions including billing, charge capture and cash collections using Epic.
  • Investigate expenses, support projections and approve accounts payable.
  • Order equipment and office supplies; manage maintenance and facility upkeep.

Job description

Responsibilities
  • Supervise operational, Human Resource, administrative and business functions for large-scale and/or multi-specialty practices
  • Provide administrative and clerical support for patient-centric care, including telephone service, appointment and surgery scheduling, new patient coordination, authorizations, referrals and back-office functions
  • Maintain clinic schedules and provider scheduling templates across assigned locations
  • Develop and maintain patient reception, appointment, cancellation and traffic-flow procedures
  • Provide reception-desk coverage and monitor practice telephone systems
  • Provide customer service, resolve patient complaints, complete variance reports and manage customer recovery
  • Assist providers with patient schedules and address day-to-day operational issues
  • Track provider activities, including productivity and regulatory compliance
  • Participate in credentialing for new providers
  • Supervise administrative and clinical staff, including registration, coordination, scheduling and authorization functions
  • Orient, train and maintain training materials and programs for staff
  • Conduct performance reviews, provide coaching, establish improvement plans and recommend disciplinary action
  • Process position requests, revise job descriptions, screen resumes, interview candidates and make hiring decisions
  • Ensure regulatory, safety, IT, patient privacy, HIPAA and health information management compliance
  • Manage revenue functions, charge capture, encounter forms, missing charges, rejection reports, cash collections and billing requirements using Epic reports
  • Investigate expense variances, support expense projections, maintain purchasing logs and approve accounts payable
  • Order equipment and office supplies and manage equipment maintenance agreements
  • Oversee cleanliness, appearance, general maintenance and limited facility renovation projects
Requirements
  • Current BLS certification required or must be obtained within 30 days of hire
  • Bachelor's Degree required
  • Minimum seven (7) years of progressive medical office experience in medical office registration, back-office clinical, scheduling and/or billing
  • Minimum three (3) years of healthcare supervisory or management experience
  • Experience in Financial Management, Quality Improvement, Project Management and Program Development required
  • Previous supervisory experience managing Human Resource issues, particularly change management and labor relations required
  • Equivalent combination of education and work experience may be considered in lieu of bachelor's degree
  • Ambulatory care management experience strongly preferred
  • Knowledge of medical practices, terminology and reimbursement policies
  • Excellent verbal and demonstrated written communication skills
  • Excellent analytical and problem-solving skills
  • Demonstrated ability to supervise operations and/or customer service
  • Ability to lift up to 50 lbs occasionally
  • Reading, writing, reasoning, talking and keyboarding abilities
