Job summary

Jobtailor is seeking a Medical Office Assistant to join our team in California. You will greet patients, schedule appointments, manage patient records in EPIC, and support doctors and staff while maintaining confidentiality.

The role emphasizes accuracy, strong communication, and the ability to work across multiple locations and systems. Prior EMR experience and bilingual Spanish are valued assets.

Qualifications

Responsibilities

  • Answer telephones, triage calls, take messages, and provide information
  • Provide support services to patients and medical staff
  • Schedule appointments and admissions as required
  • Prepare patient charts and office documents
  • Scan and sort documents into the Electronic Health Record
  • Attend staff meetings
  • Maintain files and assist in updating office systems
  • Inventory office supplies and assist with office equipment maintenance
  • Book, coordinate, and reschedule patient appointments
  • Relay necessary messages to staff and doctors
  • Answer questions regarding appointments, prescriptions, and testing
  • Greet and register patients promptly and pleasantly
  • Verify necessary information and update patient records
  • Assemble paperwork and forms for patient visits
  • Request referrals and authorizations as needed
  • Log payments and balance receipts
  • Ensure copays are balanced and reports are properly produced
  • Oversee the reception area and coordinate patient movement
  • Report problems or irregularities
  • Maintain patient confidentiality
  • Adhere to company and Practice Leader best practices
  • Perform other related work as assigned or required
  • Work in multiple locations as required

Requirements


  • High school diploma or General Educational Development (GED) certificate required

  • Completion of business school or related training, including computer courses preferred

  • One (1) year of progressive responsibility and directly related work experience

  • Experience with and proficiency in electronic medical records; EPIC software a plus

  • Computer proficiency: Microsoft Office

  • Ability to speak, read, and write English clearly

  • Knowledge of medical office procedures

  • Knowledge of grammar, spelling, and punctuation

  • Knowledge of basic arithmetic to calculate, balance, and reconcile figures and make change accurately

  • Skill in operating a computer, fax, and copy machine

  • Ability to read, understand, and follow oral and written instructions

  • Ability to speak clearly and concisely

  • Ability to establish and maintain effective working relationships with patients, employees, and doctors

  • Measles, mumps, varicella, and annual influenza immunizations required as a condition of employment

  • Bilingual Spanish desired
