Our confidential client, a highly successful private investment firm, is seeking an exceptionally experienced Personal Assistant to provide high-level personal and administrative support to UHNWI.
This is a highly trusted, hands‑on role for someone who has extensive experience supporting Ultra-High-Net-Worth (UHNW) principals and families and can operate independently from day one. The ideal candidate will be polished, highly organized, technologically savvy, and operationally focused, with the confidence and judgment to manage a fast-moving and highly international environment.
Location: Brickell, Miami, FL
Schedule: Monday–Thursday, 9:00 AM–6:00 PM EST | In Office
Responsibilities:
- Serve as a central point of coordination, managing a wide range of personal and day‑to‑day needs.
- Coordinate complex domestic and international travel, including itineraries, transportation, accommodations, and last‑minute changes.
- Manage reservations, appointments, dining, and other personal arrangements.
- Coordinate with household, executive, travel, and other support teams to ensure seamless execution.
- Communicate with staff and outside contacts across multiple countries and time zones.
- Partner closely with the Director of Operations/Chief of Staff and other senior members of the organization.
- Serve as the central operational hub on the computer, keeping information, requests, schedules, and moving pieces organized and efficiently managed.
- Anticipate needs, troubleshoot issues, and independently follow through on details without requiring significant direction.
- Maintain a high level of discretion and confidentiality when handling sensitive personal and professional matters.
- Utilize technology and emerging tools, including AI, to improve organization, communication, and efficiency.
Qualifications:
- 10+ years of experience as a Personal Assistant, Executive Personal Assistant, or similar role supporting UHNW individuals or families.
- Proven experience working directly with sophisticated, high‑profile principals in a highly confidential environment.
- Strong background coordinating international travel and working with teams and vendors across multiple countries.
- Exceptional organizational and follow‑through skills with the ability to manage numerous priorities simultaneously.
- Operationally focused with a proactive, solutions‑oriented approach.
- Direct, clear, and polished communication style.
- Highly technologically proficient and comfortable adopting new technology and AI tools.
- Able to work independently and make sound decisions without extensive training or hand‑holding.
- Professional, discreet, adaptable, and comfortable operating in a fast‑paced environment.
- Ability to work effectively with other PAs, senior leadership, operations teams, and external partners.
