We are seeking a highly polished, proactive Executive Personal Assistant to provide comprehensive personal and professional support to a private family/individual. This individual will serve as a trusted partner to the principals, helping manage a dynamic schedule, coordinate multiple residences and business locations, and ensure day-to-day priorities are handled seamlessly. The ideal candidate is exceptionally organized, discreet, resourceful, and comfortable operating in a fast-moving environment where priorities can shift quickly. This role requires someone who naturally anticipates needs, takes ownership, and can confidently interact with senior-level individuals, household staff, vendors, and external partners.
Key Responsibilities
- Own and coordinate complex calendars, appointments, travel arrangements, itineraries, and associated logistics for the principals.
- Act as a trusted point of contact for internal and external stakeholders, communicating with professionalism, warmth, and discretion.
- Oversee administrative needs related to residences, offices, vehicles, and other personal or business assets, including vendors, maintenance, insurance, registrations, and ongoing projects.
- Coordinate with household employees, contractors, service providers, and vendors to ensure projects and requests are completed efficiently and to a high standard.
- Manage incoming correspondence, calls, requests, and follow-ups, ensuring priorities are appropriately addressed and nothing falls through the cracks.
- Maintain accurate contact information, records, databases, and organizational systems.
- Provide administrative support across multiple offices and business locations, helping ensure consistent communication and smooth daily operations.
- Assist with the launch and development of new business initiatives, including office setup, vendor sourcing, purchasing, inventory management, merchandise, and other operational needs.
- Support private events, special projects, and other ad hoc priorities as they arise.
- Handle highly sensitive personal, financial, and business information with absolute confidentiality and sound judgment
Ideal Background
- Bachelor's degree preferred, but not required.
- Experience supporting high-net-worth individuals, executives, entrepreneurs, family offices, or similarly demanding principals strongly preferred.
- Proven ability to manage complex schedules, multiple priorities, and projects simultaneously.
- Exceptional organizational skills with strong attention to detail and follow-through.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, judgment, and emotional intelligence.
- Naturally proactive with the ability to anticipate needs and resolve issues before they become problems.
- Comfortable working independently while also collaborating effectively with a broader team.
- Strong proficiency with Microsoft Office, Outlook, calendar management, and travel coordination platforms.
- Willingness to provide occasional after-hours support when priorities or travel schedules require flexibility.
