Job Overview
We are seeking a Payroll Coordinator to support payroll operations for approximately 950 hourly employees at our Robinson, IL plant. This position reports to the Plant Controller and plays a critical role in ensuring accurate, timely payroll processing while maintaining appropriate accounting, operational, and compliance controls.
The Payroll Coordinator will oversee hourly timekeeping, process bi-weekly payroll, manage payroll deductions and garnishments, support payroll-related reporting, and serve as a subject matter expert for payroll questions and requests.
This position requires flexibility in working hours based on payroll deadlines and business needs, including occasional weekend and holiday work, particularly when a holiday falls on a Monday.
Key Responsibilities
- Serve as the fully trained Payroll Coordinator responsible for overseeing the editing and verification of daily time punches for the hourly workforce within the automated payroll system.
- Process bi-weekly payroll for plant hourly employees.
- Process bi-weekly payroll accruals and weekly payroll for the contingent workforce.
- Ensure all Sarbanes-Oxley (SOX) controls are properly implemented and functioning throughout the year.
- Process payroll deductions and additional earnings accurately and on a timely basis.
- Assist with tracking hourly employee attendance in accordance with plant policies.
- Provide onsite support to employees with payroll questions and respond to payroll inquiries submitted through ServiceNow.
- Process incoming garnishment orders, garnishment remittances/payments, and establish new vendors as needed.
- Serve as a payroll subject matter expert for ad hoc requests, meetings, payroll data analysis, payroll rules, policies, and Finance/Controller-related initiatives.
- Assist with annual and periodic hourly wage updates by maintaining spreadsheets and providing updated wage information to IS and HR within established deadlines.
- Maintain confidentiality of employee payroll and personal information.
- Support payroll and accounting activities while maintaining accuracy and compliance with company policies and procedures.
Required Qualifications
- High school diploma or GED required.
- 1-2 years of experience with an automated time and attendance system and/or general accounting experience preferred.
- Strong proficiency with Microsoft Office, including Excel and Word.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to effectively communicate with employees and stakeholders at all levels.
- Strong planning and organizational abilities.
- Ability to manage multiple projects and priorities in a fast-paced environment.

- Understanding of how employee attendance practices can impact payroll, including FMLA, Short-Term Disability (STD), vacation, and other leave programs, preferred.
