The Payroll Specialist will oversee and supervise payroll and benefit functions. This role ensures pay and benefits are processed on time, accurately, and in compliance with government regulations. They will oversee workflows and optimizes technology related to payroll, benefits, and HR data while maintaining responsibility for accurate and current data in the company’s HRIS platform.
- Manage full-cycle processing of bi-weekly payroll for 300+ employees.
- Provide accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Partner with other HR team members to ensure accurate and timely processing of payroll updates such as new hires, terminations, transfers, and promotions.
- Prepare and maintain accurate records and reports of payroll transactions.
- Ensure compliance with federal, state, and local payroll laws, wage and hour laws, and best practices.
- Conduct regular audits of employee pay records and ensure accurate tax reporting and YTD earnings.
- Participate in financial audits as necessary.
- Identify and recommend updates to payroll processing software, systems, and procedures.
- Manage benefit administration including communication with brokers, carriers, team members, and payroll provider.
- Administer the setup and ongoing management of state and local payroll tax accounts.
- Assist in developing workflow policies and procedures related to the payroll function to ensure accuracy and efficiency in processing payroll.
- Update payroll provider with any changes to GL interface.
- Support HR with benefits open enrollment and HRIS system updates based on annual changes.
- Oversee the preparation, accuracy, and submittal of compliance reporting (5500, 1094, 1095, W2, EEO-1 etc.).
- Act as the primary point of contact for employee inquiries on payroll and benefits and provide excellent customer service, ensuring all payroll errors are handled timely and professionally.
- Manage the HRIS system to ensure the system contains up-to-date and accurate data.
- Provide Time & Labor/Payroll System training to all Supervisors.
- Assist with administrative duties as needed and assigned by HR team leads including and not limited to Learning Management System setup and maintenance, training calendar preparation, training materials development and general project management.
- Provide support for all HR initiatives and special projects.
Education
- Bachelor’s degree in business administration, accounting, human resources, or related field preferred.
Work Experience
- 3-5 years of experience with multi-state payroll required.
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes required.
- Proficiency with Microsoft Office Suite preferred.
- Proficiency with payroll software, Paylocity experience preferred but not required
