Job summary

Baystate Health seeks a Unit Secretary to support Nurse Manager and charge nurse on the unit, coordinating patient information, documentation, and bed management to sustain smooth operations. You will greet patients and families, relay messages, and help with admissions and throughput, while maintaining accurate charts and logs.

In this role you will use multiple hospital systems (OA Gold, BMD, CIS, PeopleSoft) to record dispositions, scheduling, and supplies, and collaborate with clinical staff

Qualifications

• One year of acute hospital experience is required.

Responsibilities

• Bed management: track, prioritize, and assign beds; coordinate admissions, discharges, and transfers with BM and BMD.
• Maintain unit logs, patient charts, and discharge/transfer records; prepare and file signatures for Medicare forms.
• Answer phones, relay messages, and coordinate communication among clinical teams and departments.
• Assist Hospitalists during rounds; arrange coverage for staff breaks and coordinate post-discharge follow-ups.
• Prepare staffing assignments for shifts; communicate staffing and scheduling to supervisors; obtain and deliver supplies as needed.
• Explain and obtain signatures for forms; coordinate chart transfers; ensure timely data entry into unit audit tools.
