Job summary

AEG Vision is seeking a Patient Care Coordinator in Austin, TX. You will greet patients, manage the front desk, and coordinate patient flow with care teams to ensure a smooth visit.

You will verify insurance, handle scheduling, and maintain EMR data accuracy while supporting retention efforts and a positive patient experience. This role emphasizes communication, organization, and teamwork in a fast-paced ophthalmology setting.

Qualifications

• High school diploma or equivalent.
• Familiarity with practice management systems (EMR).
• Strong organizational skills with attention to detail and ability to manage multiple priorities.
• Strong communication skills (verbal and written) with a focus on patient-centered service.
• Strong interpersonal skills and ability to work collaboratively across teams.
• Ability to proactively identify issues and contribute to solutions in a fast-paced environment.

Responsibilities

• Greet patients, customers, and vendors in a friendly, professional manner; serve as the primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage email or digital communications promptly.
• Schedule patient appointments while supporting provider schedule optimization and cancellations/reschedules.
• Execute appointment confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and patient demographics; enter data in EMR.
• Clarify insurance coverage and patient financial responsibility.
• Prepare patient charts and documentation ahead of visits.
• Collect and document charges, co-pays, and payments in EMR; help with claims.
• Run reports to ensure charges are billed and up to date.
• Monitor patient flow and adjust schedules to prevent bottlenecks.
• Communicate wait times and next steps to patients.
• Coordinate with clinical and optical teams for smooth transitions.
• Support retention through recalls and follow-ups, including annual/necessary visits.
• Maintain a clean, organized front office; perform other duties as assigned.
