Qualifications

• High school diploma or equivalent required.
• Proficiency with practice management systems (EMR) expected.
• Strong organizational skills with multi-priority management.
• Excellent verbal and written communication with patient focus.
• Ability to work collaboratively across teams and maintain confidentiality.

Responsibilities

• Greet patients, vendors, and customers; act as primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage emails professionally.
• Schedule patient appointments and optimize provider schedules.
• Send confirmations/reminders to reduce no-shows.
• Verify insurance eligibility and enter patient data in EMR.
• Explain coverage, benefits, and patient financial responsibility.
• Prepare patient charts and documentation before visits.
• Record charges, co-pays, and payments in EMR; track balances.
• Run reports to ensure charges are billed and up to date.
• Monitor patient flow and adjust provider schedules for efficiency.
• Communicate wait times and next steps to patients.
• Coordinate with clinical/optical teams for smooth transitions.
• Support recall and follow-up for retention and preventive care.
• Maintain a clean, organized front office; perform additional duties as assigned.
