Qualifications

• High school diploma required; some college or associate degree preferred.
• Prior front desk, administrative, or medical office experience preferred.
• Professional, polished appearance and communication style.
• Excellent customer service and interpersonal skills.
• Strong organizational and multitasking abilities.
• Comfortable with technology — proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar, Drive).
• Knowledge of medical terminology or insurance a plus.
• Ability to handle confidential information with professionalism.

Responsibilities

• Greet and check in patients and families with professionalism and warmth.
• Manage client scheduling, appointment confirmations, and cancellations.
• Verify insurance and collect co-pays or balances at check-in.
• Answer incoming calls, respond to emails, and route inquiries appropriately.
• Maintain accurate electronic client files and assist with data entry.
• Process mail and other administrative correspondence.
• Support the clinic team with supply orders, organization, and daily readiness.
• Perform light office tidying to maintain a clean, welcoming environment.
• Assist with special projects or events as assigned by the Clinic Director.
