Qualifications

• Basic computer literacy and ability to learn practice management systems (EMR).

• Ability to work collaboratively across teams in a fast-paced setting.

Responsibilities

• Greet patients, customers, and vendors; serve as primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage emails or digital communications promptly.
• Schedule patient appointments and optimize provider schedules; handle cancellations and reschedules.
• Confirm appointments and send reminders to reduce no-shows.
• Verify insurance eligibility and patient demographics; enter data into EMR accurately.
• Explain coverage, benefits, and patient financial responsibility clearly.
• Prepare patient charts and documentation ahead of visits for efficient flow.
• Collect and document charges, co-pays, and payments in EMR; allocate balances.
• Run reports to ensure charges are billed and up to date.
• Monitor daily patient flow and adjust schedules to prevent bottlenecks.
• Communicate wait times and next steps to maintain a positive experience.
• Coordinate with clinical and optical teams for smooth transitions.
• Support retention through follow-up, recall, and reactivation outreach.
• Maintain a clean, organized front office environment.
• Assist with other duties as needed by Practice Manager / Optometrist.
