Qualifications

• High school diploma or equivalent required.
• Proficiency with practice management systems (EMR) preferred.
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Ability to collaborate across care teams.
• Maintain patient confidentiality at all times.

Responsibilities

• Greet patients, customers, and vendors in a friendly, professional manner.
• Answer calls, respond to inquiries, and manage emails promptly.
• Schedule appointments and optimize provider calendars.
• Send confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and patient demographics in EMR.
• Explain coverage, benefits, and patient financial responsibility.
• Prepare charts and documents before visits for smooth flow.
• Record charges, co-pays, and payments in EMR; reconcile accounts.
• Run reports to ensure charges are billed and up to date.
• Monitor patient flow and adjust as needed to prevent bottlenecks.
• Communicate wait times and next steps to patients.
• Coordinate with clinical/optical teams for transitions.
• Support recall and reactivation outreach for retention.
• Assist in maintaining a clean, organized front office.
