Job summary

WVUH West Virginia University Hospitals is seeking an outpatient scheduling/registration specialist to manage scheduling, cancelling, rescheduling and registering patients for ambulatory clinics, collecting all necessary information for schedule and registration preparation. Minimum qualifications include a high school diploma and background checks as required for regulated areas.

Qualifications

• High school diploma or equivalent.
• State criminal background check and federal check if applicable for regulated areas.

Responsibilities

• Check in and check out patients following scheduling/registration guidelines and prioritize as needed.
• Obtain and verify guarantor information at least annually; generate referrals/authorizations when needed.
• Schedule and register patients within clinic guidelines and medical appropriateness.
• Ensure follow-up appointments and testing are coordinated at check-out.
• Collect necessary information to schedule/register patients for appointments.
• Identify and communicate scheduling changes due to patient needs or modifications.
• Notify relevant staff of scheduling changes due to cancellations.
• Respond to patient/staff needs and complaints within patient-care environment; involve supervisors as needed.
• Coordinate with referring physicians’ offices to ensure orders exist and are complete; document outside orders as requested.
• Collect time-of-service payments and copayments at check-in/check-out.
• Reconcile cash drawer at end of day and report discrepancies.
• Collect signatures on waivers for managed care at check-in.
• Complete Workques and daily tasks in scheduling area in a timely manner.
• Respond to all patient communications promptly.
