Job summary

AdaptHealth, LLC is seeking an Intake Specialist in California to support patient access by coordinating referrals, reviewing clinical documentation, and ensuring accurate setup of services. You will work with patients, providers, referral sources, and internal teams to verify eligibility and navigate insurance requirements.

The role emphasizes attention to detail, patient communication, and collaboration across departments in a fast-paced healthcare setting.

Qualifications

• 1 year of relatable work experience required.
• High School Diploma or Associate's degree in a related field (Healthcare Administration, Business Administration or equivalent).
• Experience in management, administrative, clerical, insurance, billing, claims, call center or customer service preferred but not required.
• Experience within healthcare organizations, pharmacy, HME, medical supply, or Medicare-certified environments is a plus.
• Excellent verbal and written communication skills with analytical, problem-solving and decision-making abilities and attention to detail.
• Ability to multi-task in a fast-paced environment.
• Proficient with Microsoft Office and healthcare systems.
• Comfort learning new technologies and navigating multiple systems.
• Ability to work independently while following established procedures and directives.

Responsibilities

• Review medical records, payer guidelines, and eligibility to determine qualification status and compliance before service delivery.
• Communicate with patients about financial responsibility and document interactions.
• Escalate or discuss documentation issues with patients, offering options to support timely care.
• Coordinate with referral sources, physicians, and clinical teams to obtain complete documentation.
• Maintain accurate, timely documentation of patient information using electronic systems.
• Enter referrals within established timeframes while meeting productivity and quality standards.
• Collaborate with leadership to ensure inventory and services are scheduled appropriately.
• Facilitate referrals across sales, insurance verification, and internal support teams.
• Navigate multiple EMR and online systems to manage documentation.
• Assist with shipping and delivery method selections per company procedures.
