Responsibilities

  • Back up Payroll: assist with payroll prep, data entry, and related tasks.
  • Prepare wage reports and employment verification reports as requested.
  • Stay informed on employment law changes.
  • Partner with HR to maintain personnel files.
  • Follow safety procedures.

Part-Time Business Office Support Specialist

We're looking for a Part-Time Business Office Support Specialist to join our team and help keep our business office organized, welcoming, and running like a well-oiled machine. This role is perfect for someone who is dependable, detail-oriented, friendly, and comfortable wearing a few different hats throughout the day.

What You'll Do

As our Business Office Support Specialist, you'll play an important role in keeping things moving. Your responsibilities will include:

  • Be the welcoming face and voice: Serve as the primary receptionist, greeting visitors and directing phone and in-person inquiries to the appropriate department.
  • Keep things organized: Handle business office and facility filing and make sure records are where they belong.
  • Keep the mail moving: Distribute daily mail.
  • Handle purchasing: Issue purchase orders and maintain purchase records.
  • Keep supplies stocked: Assist the Business Manager with office supplies and help identify when it's time to restock.
  • Back up Accounts Payable: Code, enter, and file AP information; assist with payment cycles, check preparation, and activity reports.
  • Back up Accounts Receivable: Post transactions and deposits, run reports, prepare and mail invoices and statements, and maintain AR files.
  • Back up Payroll: Assist with payroll preparation, including data entry, pay calculations, garnishments, child support, payroll reports, checks, taxes, 401(k) information, new employee setup, and payroll records.
  • Prepare employment documentation: Complete wage reports and employment verification reports as requested.
  • Stay in the know: Keep up with applicable employment law changes.
  • Partner with HR: Help maintain complete and accurate personnel files.
  • Follow safety procedures: Observe all safety, health, confidentiality, personnel, and workplace procedures.
What You Bring

  • Experience with Accounts Payable, Accounts Receivable, and Payroll is preferred.

The Details
  • Position: Part-Time
  • Schedule: Regular business hours, with occasional flexibility required
  • Reports to: Finance Director
  • Probationary Period: 12 months
  • Background Checks: All applicable background checks must be successfully completed
  • Driving: Employees who operate a vehicle on behalf of the Company must maintain a valid driver's license, meet insurance requirements, and maintain an acceptable driving record. Driving records may be checked at hire and throughout employment.
  • Work Environment: This position may occasionally involve exposure to physical or verbal aggression and Bloodborne Pathogens. Personal Protective Equipment (PPE) may be required.
