Job summary

WVU Medicine is seeking a Scheduling and Registration Clerk for ambulatory clinics. You will check patients in/out, gather guarantor information, and ensure appointments are scheduled and documented accurately to support efficient clinic flow.

Responsibilities include coordinating follow-up visits, validating orders with physicians, handling payments and waivers, and responding to patient inquiries. Strong communication and attention to detail are essential for success in a fast-paced healthcare

Qualifications

• High School diploma or equivalent.
• State criminal background check and Federal (if applicable), as required for regulated areas.
• Strong written and verbal communication skills.

Responsibilities

• Checks in and checks out patients in accordance with Scheduling/Registration guidelines, prioritizing needs.
• Obtain and verify patient guarantor information at least once a year; generate referrals if needed.
• Schedules and registers patients per guidelines and medical appropriateness.
• Ensures follow-up appointments and testing are coordinated at checkout.
• Collects all necessary information to schedule and register patients.
• Identifies and communicates need for scheduling modifications and changes.
• Notifies staff of scheduling changes due to patient cancellations.
• Responds to patient and staff needs within patient care environment; involves supervisors as needed.
• Consults with referring physician’s office to verify orders and obtain them.
• Collects time of service payments and copayments during check-in/out.
• Reconciles cash drawer at end of day and reports discrepancies.
• Collects signatures on waivers for managed care at check-in.
• Completes administrative tasks and daily scheduling area duties.
• Responds promptly to patient communications.
