Responsibilities

• Provide customer support by answering questions about products, pricing, availability, order status, and delivery timelines.
• Support the sales team with quotes, product information, pricing requests, and account follow-up.
• Prepare and process sales orders, confirming product specifications, quantities, pricing, shipping details, and customer requirements.
• Coordinate with vendors and manufacturers to obtain quotes, verify inventory, confirm lead times, and clarify product details.
• Create and track purchase orders, verify supplier acknowledgments, and resolve discrepancies.
• Monitor orders from placement through fulfillment, working with purchasing, warehouse, and shipping teams to keep orders moving.
• Communicate order updates, backorders, delays, substitutions, and revised delivery dates to customers and sales representatives.
• Coordinate shipments and deliveries, including tracking information and required documentation.
• Resolve missing, incorrect, or damaged shipment issues and coordinate returns, replacements, credits, and warranty requests.
• Assist with invoice questions and work with accounting to resolve billing discrepancies.
• Maintain accurate customer, vendor, manufacturer, and order records in company systems.
• Follow up after delivery to confirm order completion and address outstanding concerns.
