Position Overview
As the frontline ambassador for our customers, the Order Entry Specialist plays a critical role in ensuring a seamless and positive customer experience from order placement through fulfillment. This position is responsible for accurately entering and processing customer orders, maintaining up-to-date order information, and coordinating closely with Sales, Operations, Purchasing, Warehouse, and Customer Service teams.
The ideal candidate is a confident and clear communicator with exceptional attention to detail, strong organizational skills, and a proactive approach to problem-solving. You’ll be responsible for managing multiple priorities in a fast-paced, growth-oriented environment while helping ensure orders are processed efficiently, accurately, and delivered on time.

Primary Responsibilities
- Accurately enter and process customer orders within company order management systems.
- Review orders for completeness, pricing accuracy, product availability, and compliance with company policies and procedures.
- Verify customer information, billing details, shipping requirements, and other order specifications.
- Partner with Sales, Warehouse, Purchasing, Customer Service, and Operations teams to resolve order discrepancies and ensure timely fulfillment.
- Monitor order status and proactively communicate updates, changes, or potential delays to customers and internal stakeholders.
- Process order modifications, cancellations, credits, returns, and other adjustments as needed.
- Maintain accurate and complete customer and order records within company systems.
- Investigate and resolve order-related issues in a timely and professional manner.
- Identify opportunities to improve order entry and fulfillment processes, and recommend solutions that improve efficiency and the customer experience.
- Ensure compliance with company procedures, data accuracy standards, and established order-processing guidelines.
- Support sales and profitability objectives by helping ensure orders are processed accurately and efficiently.
- Perform additional duties and responsibilities as assigned by management.
Required Qualifications
- High School Diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Communications, or a related field preferred.
- 1+ year of experience in order entry, customer service, sales support, administrative support, or a related role.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Exceptional attention to detail and organizational skills.
- Strong problem-solving and decision-making abilities.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to work effectively both independently and collaboratively as part of a team.
Preferred Qualifications
- Experience in the industrial or transportation aftermarket industry.
- Familiarity with 12V electrical components in an e-commerce or distribution environment.
- Hands-on experience with Oracle ERP systems.
- Working knowledge of CRM platforms such as OnContact or Salesforce.
