Job summary

Walman Optical is seeking a Customer Service Representative (Order Clerk) for our York, PA area location. You will build and maintain strong customer and vendor relationships, handle RFQs, stock orders, returns and PO processing, and coordinate with internal departments for top-notch service.

The role requires the ability to manage multiple tasks, use MS Office, and communicate clearly while maintaining HIPAA compliance. Training and support are provided in a collaborative team environment.

Qualifications

• High school diploma or equivalent required.
• 1+ year of customer service, hospitality, or call center experience preferred.
• Excellent telephone etiquette and ability to stay calm with difficult customers.
• Strong written and verbal communication skills.
• Detail-oriented with good organizational abilities.
• Basic PC skills including MS Office; Word and Excel.
• Physical ability to lift/move up to 40 pounds.

Responsibilities

• Handle requests for price quotations, orders, changes, and cancellations from customers and labs.
• Build strong relationships with customers and provide the best possible service.
• Receive, sort, clean, and repack overstock and defective items for return to vendors.
• Assist with frame assembly, packaging, and monthly auto-kit mailings.
• Use a PC to access customer and stock data, and update orders accurately.
• Coordinate with vendors to track orders, quotes, and delivery information.
• Troubleshoot issues and communicate policies and promotions clearly.
• Sort mail, perform mid-day backups, and support end-of-day close-out.
• Cross-train and learn other department duties; keep a neat, organized workspace.
• Maintain confidentiality of all proprietary and HIPAA-protected information.
