Job summary

CarMax is seeking a Management Assistant in the San Antonio area to support store operations by aiding managers with hiring, onboarding, and orientation. You will handle applicant records, facilitate new associate orientation, and assist with paperwork and customer service in a fast-paced environment.

Responsibilities include processing sales/auction paperwork, cash handling, and supporting the Business Office. Flexibility to work varied hours, including nights and weekends, is required.

Qualifications

• Ability to read, interpret, and accurately transcribe data for records.
• Strong organizational skills and detail oriented in a deadline-driven environment.
• Proficiency with word processing and spreadsheets; intermediate PC skills.
• Excellent communication for customer and associate interactions in person, by phone, and in writing.
• Ability to multitask and prioritize in a fast-paced environment.
• Maintain confidentiality of records and reports.
• Flexibility to work varied schedules, including nights, weekends, and holidays.

Responsibilities

• Coordinate hiring and onboarding processes, including scheduling interviews, preparing documentation, and managing applicant records in Workday.
• Facilitate new associate orientation, ensuring timely completion of required documentation and training, and maintaining accurate personnel files.
• Provide customer service support by greeting customers, answering questions, and assisting with paperwork.
• Process sales and auction paperwork, including DMV documentation and dealer registration.
• Handle cash management tasks, including deposits, safe handling, and multiple payment types.
• Support Business Office operations and mentor new associates as needed.
• Follow CarMax Environmental, Health and Safety (EH&S) requirements and maintain a clean and orderly work area.
