Aston Carter is seeking an Operations Coordinator for a permanent on-site role in Joliet, IL. The position blends office tasks with hands-on production floor responsibilities, requiring strong Excel and ERP experience.

You’ll manage schedules, track labor and production data, coordinate with project managers, and support sales while ensuring timely, accurate documentation. The role emphasizes data integrity, cross-functional collaboration, and continuous improvement in a fast-paced manufacturing

Qualifications

• 3+ years of operations coordination experience in a production, manufacturing, or related environment.
• Strong Microsoft Excel skills, including pivot tables, VLOOKUP/HLOOKUP, INDEX-MATCH, COUNTIFS, and VBA/macros.
• Ability to work with financial data and numerical information.
• Strong interpersonal and communication skills with internal teams, customers, and vendors.
• Experience with ERP systems in a production or operations context.
• Proven ability to manage multiple tasks, coordinate schedules, and maintain accuracy in a fast-paced environment.
• Comfort engaging with both office functions and production floor operations.

Responsibilities

• Manage job setup by verifying material availability and coordinating with project managers for production readiness.
• Review and distribute production, shipment, and work schedules; confer with supervisors on progress and priorities.
• Coordinate with project managers on job-closing and collaborate with Quality Control to ensure data accuracy.
• Prepare subcontractor packing slips for precise outbound documentation.
• Monitor daily production labor; audit hours in the system; maintain data accuracy for labor and production records.
• Update and distribute Production Action Item sheet before weekly meetings for informed decisions.
• Coordinate truck deliveries and provide real-time status updates to the team.
• Support diverse projects from initiation to completion, ensuring milestones and quality standards.
• Perform quarterly and annual inventory cycle counts to improve system data accuracy.
• Provide sales support by responding to information requests and coordinating communications.
• Work with outside sales to develop and maintain sales lead tracking and calendaring systems.
• Review and track completion, inspection, shipment, delivery, acceptance, and closure of products and jobs.
• Interact with customers to provide timely and accurate data for successful outcomes.
• Coordinate with internal teams to solve problems and respond to customer requests promptly.
• Ensure existing contract orders are updated in the system.
• Administer customer inventory agreements and align with requirements.
• Collaborate with customer service, quality, operations, and engineering to resolve issues.
• Act as liaison between project managers, production, and leadership for alignment.
• Participate in lean, cross-functional initiatives for continuous improvement.
