Job summary

Bill Alexander Ford Lincoln is seeking an Assistant Facilities Manager on a full-time contract basis to support the Facilities Manager in daily operations, maintenance, safety, and overall facility functionality. You will coordinate maintenance, manage vendors, monitor conditions, and ensure a safe, efficient workplace.

The ideal candidate is organized, proactive, and able to juggle multiple priorities while collaborating with employees, contractors, and internal departments.

Qualifications

• Bachelor's degree in a relevant field preferred.
• 3+ years of experience in facilities management or related roles.
• Knowledge of facility operations, preventive maintenance, and safety practices.
• Experience coordinating contractors and service providers.
• Proven organizational, time-management, and multitasking abilities.
• Excellent communication and interpersonal skills.
• Familiarity with budgets, invoices, POs, and service contracts is a plus.
• Knowledge of building systems (HVAC, electrical, plumbing) is beneficial.

Responsibilities

• Assist with daily management and operation of company facilities and workspaces.
• Support maintenance schedules and operational procedures.
• Coordinate preventive and corrective maintenance for building systems.
• Conduct regular facility inspections and address issues.
• Coordinate with vendors and contractors for repairs and maintenance.
• Monitor contractor work to ensure quality and safety standards.
• Assist with budgets, invoices, POs, and service contracts.
• Maintain records for maintenance activities, assets, and vendor services.
• Support moves, space planning, and facility improvement projects.
• Respond to employee facility-related requests promptly and professionally.
• Ensure compliance with safety policies and building requirements.
• Assist with emergency preparedness and business continuity.
• Monitor inventory and procure facility supplies and services.
• Support energy efficiency and cost-reduction initiatives.
• Prepare operational reports on maintenance and facility performance.
