Job summary

Bill Alexander Ford Lincoln seeks an experienced Assistant Facilities Manager to support daily facility operations, maintenance, safety, and vendor coordination on a full-time contract basis. You will help manage budgets, records, and space planning while ensuring a safe, well-maintained workplace.

The ideal candidate has strong organizational skills, 3+ years in facilities-related roles, and proficiency with MS Office and work-order systems.

Qualifications

• Bachelor’s degree in facilities management or a related field is preferred.
• 3+ years in facilities management, building operations, or related disciplines.
• Knowledge of preventive maintenance, vendor management and safety practices.
• Experience coordinating contractors and facility-related projects.

Responsibilities

• Assist daily management and operation of company facilities and workspaces.
• Support maintenance schedules and operational procedures.
• Coordinate preventive and corrective maintenance for building systems and equipment.
• Conduct regular facility inspections and address safety issues.
• Coordinate with vendors and service providers for repairs and maintenance.
• Monitor contractor work for quality and safety standards.
• Assist with budgets, invoices, POs, and service contracts.
• Maintain records for maintenance activities, inspections, assets and vendors.
• Support moves, space planning and facility improvement projects.
• Respond to employee requests in a timely, professional manner.
• Ensure compliance with safety policies and regulations.
• Assist with emergency preparedness and business continuity.
• Monitor inventory and purchasing of facility supplies and services.
• Support energy efficiency and cost-reduction initiatives.
• Prepare operational reports and updates on maintenance and issues.
• Step in to support the Facilities Manager when needed.
