Job summary

Bill Alexander Ford Lincoln is seeking a dependable Assistant Facilities Manager to join our team on a full-time contract. You will support the Facilities Manager in overseeing daily operations, maintenance, safety, and the overall functionality of company facilities on-site.

The role involves coordinating maintenance, managing vendors, tracking work orders, budgeting, and reporting on facility performance.

Qualifications

• Bachelor's degree preferred in Facilities Management, Business Administration, Operations, Engineering, or related field.
• 3+ years of facilities management or related experience.
• Knowledge of facility operations, safety practices, and vendor management.
• Experience coordinating contractors, service providers, and maintenance personnel.
• Proficiency with Microsoft Office; familiarity with FM or CMMS/work-order systems.

Responsibilities

• Assist with daily management and operation of facilities and workspaces.
• Develop and implement maintenance schedules and procedures.
• Coordinate preventive and corrective maintenance with contractors.
• Conduct regular facility inspections for safety and operations.
• Coordinate with vendors and service providers for repairs and maintenance.
• Monitor contractor work and ensure quality and safety standards.
• Assist with budgets, invoices, POs, and service contracts.
• Maintain records for maintenance activities and vendor services.
• Support moves, space planning, and facility improvement projects.
• Respond to employee requests and facility-related concerns promptly.
• Ensure compliance with safety policies and regulations.
• Assist with emergency preparedness and business continuity.
• Monitor inventory and procure facility supplies and services.
• Support energy efficiency and cost-reduction initiatives.
• Prepare operational reports on maintenance and performance.
• Step in for Facilities Manager when needed.
